Empower the Directors at PGGM Investment Management as an Executive Secretary 

About the Role 

Are you a highly organized and proactive individual with a passion for supporting senior leadership? Do you thrive in a dynamic environment where you can make a real impact? If so, we invite you to explore this exciting opportunity to join our team as an Executive Secretary at PGGM investment Management. 

As the Executive Secretary for two directors ór (for example) for one director and a team, you will play a pivotal role in ensuring the smooth operation of their offices and providing exceptional administrative support. Your responsibilities will encompass a wide range of tasks, including: 

  • Comprehensive Secretarial Support: Provide exceptional secretarial support, including managing complex calendars, handling email correspondence, preparing meetings, maintaining directorial archives, prioritizing tasks, and adhering to deadlines. 
  • Travel and Meeting Coordination: Organize and book domestic and international travel arrangements for the directors, ensuring seamless and efficient travel experiences. 
  • Event Management: Coordinate and organize events and meetings, ensuring all logistical aspects are handled with precision and professionalism. 
  • Managerial Meeting Support: Provide comprehensive support for management meetings, including preparing agendas, taking minutes, and distributing follow-up materials. 
  • Presentation and Note Preparation: Assist in the preparation of presentations and notes, ensuring clear, concise, and error-free materials.

At PGGM Investment Management, approximately 550 (international) employees are dedicated to crafting complex financial products. Your team, Secretariat Investment Management, plays a crucial role in empowering and supporting the PGGM Asset Management directors and their meetings. You will collaborate with a team of secretaries and company secretaries who share a strong work ethic, mutual support, and a touch of healthy humor. If you are a proactive, solution-oriented individual with exceptional organizational and planning skills, this role is an ideal fit for you. Your strong communication and interpersonal skills will enable you to build rapport with senior leadership and navigate complex situations with confidence. 

Qualifications 

  • Proven Experience: Minimum of 1 to 3 years of relevant work experience. 
  • Team Player and Independent Contributor: Demonstrate exceptional teamwork abilities while maintaining the ability to work independently. Possess strong and effective communication skills, actively sharing knowledge with colleagues. 
  • Integrity and No-Nonsense Approach: Uphold the highest standards of integrity and professionalism, maintaining a no-nonsense attitude. 
  • Organizational Savvy: Exhibit exceptional organizational skills and attention to detail, ensuring seamless workflow and project management. 
  • Bilingual Proficiency: Fluently bilingual in Dutch and English. 
  • Initiative and Problem-Solving: Proactively identify opportunities for improvement and contribute innovative solutions to optimize work processes. 
  • MS Office Expertise: Possess in-depth knowledge of MS Office suite (Outlook, Word, PowerPoint, Excel, Teams, Sharepoint). 
  • Relevant Education: Hold a completed secretarial or equivalent education.
